Guidelines for Vendors

Important Dates:

  • Application & Payment Deadline: Four weeks before the event. There will be no on-site registration.
  • Print-Ready Graphics: Submit four weeks before the event for inclusion in the brochure (sponsors only). You will receive an email reminder.

Prohibited Items:

  • Weapons: No knives, swords, daggers, etc. are allowed on the premises (park rules). This includes athames.
  • Manufactured Toys: Only Pagan-themed items are permitted.
  • Food Sales: Only approved vendors with the proper permits may sell food. This includes pre-packaged items like cakes and fruit.
  • Smoking: No smoking in vendor booths. Designated smoking areas will be available.

Information Booths: Sharing, Not Selling:

Information booths are designed for groups and covens to connect with the community and introduce themselves. This is your space to share your beliefs, practices, and what your group is all about. Please note, fundraising and selling of any kind are not permitted in information booths. If you’d like to sell products or raise funds, consider registering for a vendor booth instead.

Parking:

  • Free parking will be available near the event site.

No-Show Policy:

  • Vendors who do not check-in by 9:00 am on Saturday will be considered no-shows and will not receive a refund.

Event Information:

  • Rain or Shine: The event will take place rain or shine. There are no rain dates and fees are non-refundable.
  • Cancellations: Cancellations must be submitted in writing 30 days before the event for a possible roll-over to the next event. There are no refunds for cancellations within 30 days.

Vendor Responsibilities:

  • Sales Tax: You are responsible for collecting and reporting sales tax.
  • Booth Setup: You must provide and set up your own display. All tents must be securely weighted or staked.
  • Vehicle Parking: After unloading, move your vehicle to designated parking. Vehicles are not allowed in the event area.
  • Licenses & Permits: You are responsible for obtaining any required licenses, permits, or approvals for your activity at the event.
  • Business License: Provide your business license number on the application. A $20 fee will be charged for missing licenses.
  • Booth Attendance: A representative must be present with your work for the entire event.
  • Booth Availability: Keep your booth open for sales during the entire event.
  • Trash Removal: Pack out all your trash, including empty vendor boxes.
  • Arrival & Departure:
    • Arrive before 9:00 am. Day-before setup is not allowed due to security and space limitations.
    • Vendor coordinator arrives by 7:30 am on event day.
    • The festival starts at 11:00 am.
    • Pack up by 7:00 pm for your safety.

Additional Notes:

  • Electricity and generators are not available for vendor booths (except designated food vendors).
  • Please review and abide by all vehicle rules.
